The formula for a reliable PDF editing prompt
Use four parts: scope + exact change + protected content + review rule.
“On every page, replace the exact phrase ‘Old Plan’ with ‘Core Plan’. Do not change prices, links or product codes. List every affected block and wait for my approval.”
That prompt is safer than “update the plan name,” because it defines what counts as a match and what must remain unchanged.
Find-and-replace prompts
- Replace every exact occurrence of “[old name]” with “[new name]”. Preserve capitalization only when the original is capitalized. Show all matches first.
- Change the date “[old date]” to “[new date]” only in the header and signature section. Do not change dates inside quoted examples.
- Standardize “e-mail”, “Email” and “email address” to “email”. Do not modify website URLs.
- Replace the former postal address with the new address across the document. Flag any line where the address is split across multiple text blocks.
- Find every price containing “[value]” and list its page and surrounding sentence. Do not replace anything until I confirm.
Rewrite prompts
- Rewrite the selected paragraph in plain English for a general audience. Keep every number, date, proper name and obligation unchanged.
- Make the selected message more concise without removing its deadline or call to action.
- Change the tone from informal to professional. Preserve names, job titles, links and amounts exactly.
- Turn the selected policy paragraph into three short bullet points. Do not introduce new requirements.
- Correct grammar and spelling only. Do not change sentence meaning or terminology.
Translation prompts
- Translate all readable text into German. Preserve company names, product codes, URLs, numbers and currency formats. Present changes page by page for review.
- Translate only the body paragraphs into Romanian. Leave the legal footer and signature names unchanged.
- Translate the selected table. Keep each result within its original cell and flag rows where the translated text is too long.
- Translate headings and captions but do not translate filenames, email addresses or registered trademarks.
- Create a bilingual version by adding the translation after each selected paragraph rather than replacing the source text.
Long-document and batch prompts
- Across this document, identify every paragraph that describes the cancellation period. Summarize the differences and propose one standardized version without applying it.
- Replace the outdated support email in every uploaded PDF. Review each file separately and skip files without an exact match.
- In all text-layer PDFs, standardize the footer wording. Do not process scanned files; list them as requiring OCR.
- Find repeated paragraphs that differ only by date or name. Group them and ask which version should become the template.
